As an international airline operating across multiple countries, our client faced a significant operational bottleneck in their finance department. Invoices arrived daily from vendors across different regions (each in their local language) requiring manual translation, data extraction, and audit processes before payment approval.


The existing workflow was labor-intensive and error-prone. Finance team members spent over 12 hours per week manually downloading invoices from emails, translating documents, extracting key data points, and logging information for audit trails. With invoices in Thai, Japanese, Korean, and other languages, the risk of translation errors and missed details created compliance concerns and delayed payment cycles.

The airline needed to replace its insecure and inefficient manual translation process with a secure, automated solution. The key objectives were to eliminate compliance risks, ensure flawless accuracy for auditing, dramatically reduce processing time, and integrate the entire workflow into their existing project management software to avoid disruption.

We built a comprehensive AI-powered invoice processing system that integrated seamlessly with the client's existing Microsoft ecosystem and Monday.com platform—eliminating the need for costly new software investments.


The automated system works in 3 stages


We developed a bespoke, secure AI translation tool and embedded it directly within the airline’s existing Monday.com ecosystem. This solution was designed to tackle their specific challenges head-on.

Intelligent Extraction

Invoices are automatically detected and extracted from incoming emails, regardless of format or language

Translation & Processing

Documents are translated into English using AI, with key data points (vendor details, amounts, dates, line items) automatically extracted and validated

Automated Auditing

The system cross-references invoice data against purchase orders and contracts, flagging discrepancies and routing approved invoices through the appropriate approval workflow in Monday.com



To handle invoices received outside of email, we also developed a mobile application that allows staff to photograph paper invoices on-site. The app instantly processes, translates, and uploads the invoice into the system with the same automated audit checks.
